Position Highlights:

Hybrid: 60% in-office, 40% WFH
- Candidate must be based in (or willing to relocate to) Los Angeles or Bay Area
- WFH option is available after 3-6 months of training. Supervisor may extend training period if necessary

Reports to: Corporate Trainer
Responsibilities include:
Meeting Coordination & Training Support
· Assist Corporate Trainer in the planning and production of all aspects of regularly held training events. Includes venue research, vendor negotiations, attendee communication, agenda development, meeting website development and maintenance, meeting preparation and day-of support.
· Support in creating meeting materials, including outlines, presentations and training documents.
· Monthly Senior Leadership and store-line virtual meeting coordination: schedule, compile and distribute agenda, facilitate meetings, and compile meeting minutes
· Mandatory Quarterly Team Meeting coordination: communicate with stores when it’s time to schedule in-store meeting, compile and distribute agenda, confirm all stores have held meeting
· HQ Events and celebration support: venue research, event preparation, day-of support, assist in planning, developing and distributing items related to HQ Holiday celebrations.
Reputation Management
· Craft responses to customer comments and reviews to reflect company’s commitment to excellent customer service, escalating to supervisor or DM only when necessary.
· Collect data and produce quarterly reputation reports.
Travel Management
- Manage online travel accounts & support all users with excellent customer service as needed
- Add/remove users
- Reset passwords
- Handle communication with vendor when issues arise
- Manage all expensing (travel and otherwise)
- Coordinate and support all company travel related to training events and store support/visits
Administrative / Store-line support
· Manage Corporate Outlook Calendars
· Organize and summarize data sent from stores for Executive review, and collect and summarize survey results from in-person and virtual training events
· Update Company phone list and Organization Charts
· Miscellaneous printing, shipping and distribution projects
· Send HQ communication emails on time and accurately
· General Communications Department & HQ support, including Forms updates, POS system testing support, and additional projects assigned as needed
Skills and Qualifications
· Proficient written and verbal communication skills with ability to provide excellent customer service and relay complex information in a clear and concise way
· Strong attention to detail and diligence to confirm accuracy in written correspondence, record-keeping, shipping logistics, etc.
· Ability to organize, summarize, and synthesize data to discover patterns and valuable takeaways
· Strong self-motivation, prioritization and time management skills
· Excellent judgment, decision-making, critical thinking and problem-solving skills
· Ability to work collaboratively and independently. Ability to take ownership of responsibilities and assignments to create a plan, produce accurate work, and problem solve as needed to meet deadlines
· Highly organized and systematic
· Approaches work with a sense of urgency, efficiency, proactivity, professionalism and positivity
· Proficient editing & proofreading skills
· Ability to remain flexible and make changes at the last moment
· Experience with Microsoft Excel, Word, Outlook, PowerPoint, and Google suite skills a plus; video editing / design skills a plus
· Retail experience a plus
